Open enrollment without the January phone calls.
Your clients with hourly crews send the packet home in a lunch bag, hold one meeting at shift change, and then the questions land on you in January. Heardby finds out what the crew doesn’t understand before the window opens, fixes the packet, and answers their questions during it. No names, no advice, nothing that competes with you.

Does the PPO cover my daughter's braces?
Yes, orthodontia to age 19, 50% after deductible. Found in SPD p. 14.
3 weeks out
Three weeks out, every employee gets a 10-minute anonymous conversation by text, in English or Spanish, on their own phone, with no app. The interviewer doesn’t work for the company and says so first. It asks what’s confusing about their benefits and what they wish someone had explained. You and the client get a two-page memo: the five things people don’t understand, in their own words, and the sentence that would fix each one. Then we rewrite the enrollment packet and the meeting script around those five things, in plain English and Spanish.
the window
Employees get a link to a benefits line that answers from the plan documents, anonymously, at any hour. It answers “does the PPO cover my daughter’s braces” from the SPD and says where it found the answer. It never gives advice, never touches eligibility or claims, and tells people to call you or HR for anything personal. Every question asked, with no names attached, comes to you as a running list. The line stays open all year, so people can ask about their coverage in March as easily as in November. When the plan changes, upload the new documents.
2 weeks after
Two weeks after the window closes, a one-page note on what still confused people and what to change next year.
Tap the questions your clients' employees ask you every January
That's 0 of the 8 the benefits line answers from the plan documents, at 2 a.m., without you.
The ninth question, the personal one, still comes to you. That's the one you want.
What you get
Fewer calls in January. A record of what the crew actually asked, which is what you’ll want at renewal. Three reasons to be in front of the client in one season. The confusion memo is yours to use with the client and costs you nothing.

Who runs it
Joe Kim. 17 years in benefits, 14 of them running open enrollment for a thousand employees and five bargaining units at a transit authority in metro Detroit. Our window was July, so the phone rang in August. Same phone.
How it starts
Send the client’s name and plan documents. The first conversations go out within a week. Calendar-year groups close in early December; public employers and many unions enroll in spring for a July start. Whichever your client runs, bring them three weeks before the window opens.
